Augusta Township Mounted Patrol Meeting for February 12, 1997

Present for the meeting was: Connie & Lewis Maynard, Liz Vas, Debby Franks,
Shirley Lyson, Laurie Cutright Pat Graustein, Annette Diebhnan, Bill Beach,
Jeff & Ronda Selter. Late to arrive was Henry Clay.

The meeting was called to order at 7:08 by Liz followed by the pledge.

Lisa wasn't able to attend but did send the crime report.

The secretary report was read. Jeff made the motion to accept it as is
and Pat seconded it. The motion passed.

The treasury has 58.35 in the bank and 7.67 in petty cash.

Old Business:

Jeff found the Calvary hat bands at Jacob's . We can order them for
around 6 - 8 dollars. We discussed ordering extra to have on hand for future
new members. I'll stop by to see Bobby soon and see what he has and order
some. No motion or vote was taken.

It was discussed sending a letter signed by all members to the Sheriffs office
to see about getting the money we have in our account. I have since found that
to get this money we have to purchase something that has to be approved by
the Sheriffs office and the bill sent to them. No checks can be made out to
a person.

Norfolk and Southern will be attending the March meeting and will give a presentation
of about 45 minutes and then talk to us about how we can help them and how they might
be able to help us.

Debby is working on signs, letterheads, ID cards and flyers. She needs ideas where
to find strips or rolls of magnetic material for signs.

The 4-H tack sale is April 26 from 9 - 3 at the Saline Fairgrounds. Jeff made a motion
that we rent a table for our flyers and to sell any used tack donated. It was also added
that if someone wants to sale tack or saddles the Patrol would get 1O%. This would help
to pay for the table. We're also checking to see if we could run a 50/50 raffle.
Pat seconded the motion. Motion passed. Annette suggested we have receipts ready
for any cash donations we might get. At our table we will also display what we have
accomplished on posters.

The flag place Debby checked is way too expensive. If you know of a place that does flags
please let me know.

Ideas on fundraising are 50/50 raffles at different places with the member selling the most
tickets at each function receiving 10% of our take. Debby suggested having a poker ride
either June 8 or Aug. 10. She volunteered to be in charge of it. Cards would be folded and
taped and placed at different check points. At the end of the ride the best hand would win
a prize. Bill made a motion to accept Debby's suggestion and Jeff seconded it.
Motion was passed. Some ideas for start and ending sites were Sanford Park or
Wasem's Orchard. We also talked about selling refreshments at some of the
check points. Another fundraiser suggested was selling hot dogs and pop at
some of the horse shows. To help advertise we would be willing to hand out
the Horse show - show bills. Annette made a motion to accept this idea with
Bill seconding it. The motion passed.

Jeff has rechecked on the road signs. They were held being put up because
of the driving conditions during the winter. Their still slated to be put
on the roads by Spring.

New Business

To help raise money for the treasury any items bought by the treasury would be
rounded to the next dollar when purchased by the members. Bill made this motion
and Jeff seconded it. The motion was passed.

There has been a concern about non- members riding in the parades. The insurance
doesn't cover any one not a member of our group. Since safety is our largest concern
it was discussed having yearly evaluations for each member and their horse.
A minimum of three (3) officers would make the decisions whether each member and
their horse is ready to ride in the parades. All evaluations would be made after
having taken part in three (3) training or obstacle courses. Pat made the motion to
add this to 5A in our membership guidelines. Jeff seconded it The motion was passed.

HVA will train us in First Aid and CPR sometime in March at the Gilben Home on Huron St.
for nothing. We were hoping for Monday the first and Friday the 7th. I haven't heard
back on the dates so if they are a go I will put the phone tree in effect.

At March's meeting I will have membership information sheets for everyone to fill out.
It is time to update these sheets.

Bill's wife Carol can make us saddle pads, double canvas with the yellow border for $15.

May 3rd there will be a Equine dentist at Sanford Park doing horses teeth and giving a
seminar on keeping your horses teeth in good shape. The cost per horse is $35 and nothing
for the seminar.

Lewis won $6 in the 50/50 raffle.

Henry (who had to come even if late so he could do this) made a motion to adjourn
the meeting at 9:00. Pat seconded it. The motion was passed.
